The job is 100% teleworked for now. When a return to the office is announced, the person hired will work from the Montreal office.

YOUR ROLE

Reporting to the Vice President, Finance, the incumbent acts as a collaborator and a prominent point of contact for the Vice Presidents, members of the team, and internal and external stakeholders. He or she ensures ongoing communication and coordination of needs, initiatives, changes, emergencies, and important priorities in terms of organization. Responsibilities include:

  • Assisting with prioritizing, coordinating and delegating, following up on phone calls and emails, including archiving information;
  • Managing, on a daily basis, the agenda of the VP, Finance, to assist in managing his/her time and priorities so as to meet commitments and avoid delays in delivering files;
  • Coordinating preparation and delivery of documents on time (e.g. reports of all kinds including financial reports, presentations, agendas, minutes or meeting notes), writing them or assisting with writing them, updating them as needed and editing them, following up on translations as required;
  • Ensuring the quality of the language, including grammar and spelling of the documents to deliver and making corrections when required in both official languages;
  • Developing mastery of software used for producing financial reports (word processing type);
  • Following up internally and externally on purchase orders and payments of sectoral purchases;
  • Producing timesheets for billing;
  • Organizing business trips for the VP, Finance in a safe and efficient way, respecting the organization’s policies.

REQUIREMENTS

  • A college diploma in a relevant field;
  • Minimum of five (5) years relevant experience in a similar position;
  • Mastery of written and verbal communication skills in one of the official languages and knowledge of the second language at the CCC level. See https://telefilm.ca/en/careers/diversity-and-bilingualism
