Personal Information

The Corporation is involved in activities which tend to generate public response in one form or another. As well, some of the Corporation’s files summarized in the Classes of Records contain personal information which is not used in a decision-making process directly affecting the individual to whom it relates. Consequently, personal information may be accumulated which is not contained in any of the institution-specific personal information banks listed in this Chapter. Such personal information may consist of, among other things, requests for information and publications, requests for funding and assistance, compliments, complaints, enquiries, suggestions, opinions, proposals, agreements and may include name, background, civic address, e-mail address, telephone number and, in some cases, other personal data. This personal information is kept in the relevant subject files and is not normally retrievable by the name of the individual or other personal identifier. The retention periods for the personal information contained in these subject files are the same as those for the subject files containing the information.

Applications in Connection with Programs or Activities, and Related Operations

On the one hand, this class of personal information is contained in applications and supporting documentation submitted by companies seeking financial support (e.g. in development, production or marketing) from Telefilm or seeking official coproduction status for their productions, or seeking financial assistance from the various forms of national and international promotional support for Canadian content which the Corporation potentially offers, or seeking to partake in an activity organized by Telefilm. These documents may contain personal information pertaining to the directors, officers, shareholders and authorized representatives or mandataries of applicant companies, including names, addresses and other coordinates. The curriculum vitae, citizenship, as well as other personal information of members of the creative personnel involved in productions, or of individuals partaking in the activities included in applications submitted to Telefilm, may also be held on file. On the other hand, this class of personal information is contained in communications or exchanges of information between Telefilm Canada and the aforementioned applicant companies (or their authorized representatives or mandataries) in connection with their application or its related operations. Such communications or exchanges of information may include, without limitation, all deliverable documents, final cost reports, exploitation reports, default situations, and others. The retention periods applicable to this class of personal information are controlled by the respective retention schedules of the files containing that information.

Registration and Booking Tools for Meetings During Activities and Events

This class of personal information describes the information used through an application in order to: (1) book a table, a room or other venue for a meeting during an activity or event; or (2) register a company for an activity or event. The name of the company registering or submitting the booking and its authorized representative(s) or mandatary(ies), their e-mail address(es), the name of the invited company and its authorized representative(s) or mandatary(ies), their e-mail address(es), the name(s) of the person(s) who will be attending the meeting, their e-mail address(es), as well as the location and time of the meeting may be found in the registration or booking submission. This information is not used for any administrative purpose affecting these individuals, nor is the information organized or intended to be retrieved by an individual’s name or other personal identifier. Registrations or booking submissions are automatically deleted once the activity or event is completed.

Manuals

Business policies

Service Charter

Guidelines relative to the funds and programs of Telefilm Canada:

> Development Program
> Production Program
> Talent to Watch Program
> Theatrical Documentary Program
> Marketing Program
> Export Assistance Program
> Festivals, activities and cinemas

Additional information

For further general information about the programs and activities of Telefilm Canada, please contact one of the following offices or use the toll-free number: 1-800-567-0890.

Halifax
Telefilm Canada
5475 Spring Garden Road, Suite 201
Halifax, Nova Scotia B3J 3T2

Montréal (head office)
Telefilm Canada
700 René-Lévesque Boulevard West, Suite 1000
Montréal, QC H3B 1X8

Toronto
Telefilm Canada
474 Bathurst Street, Suite 100
Toronto, Ontario M5T 2S6

Vancouver
Telefilm Canada
1055 West Georgia Street, Suite 2405-02
Vancouver, BC V6E 3P3

The Government of Canada encourages the release of information through requests outside of the ATIP process.
